Privacy Policy

How we handle information collected through this website, and our commitment to your privacy.

Lotus Counselling Services ("Lotus", "we", "us") respects your privacy. This policy explains what information this website collects, how it is used, and the choices you have. It applies to this website. Your clinical records and any health information you share during care are handled separately under our clinical privacy obligations as a health information custodian in Ontario.

Information We Collect Through This Website

We aim to collect as little as possible. Through this website, we may receive:

  • Contact form details: If you send us a message, we collect your name, email, phone number, and the contents of your message. Our contact form does not ask you to describe your health condition or diagnosis, and we ask that you do not include sensitive health details in it.
  • Information you choose to email or call us with: When you contact us directly, we receive whatever you choose to share.

Booking and Your Health Information

When you book an appointment, you are directed to our secure booking platform, Jane (Jane App), which is operated by a third party under its own privacy and security practices. Any intake forms, health history, and clinical information you provide are collected and stored within our clinical systems, not on this public website. We treat that information as confidential personal health information.

How We Use Your Information

  • To respond to your inquiries and help you book or prepare for an appointment.
  • To match you with a therapist who fits your needs and preferences.
  • To provide and administer the care you request.

We do not sell your information. We do not use it for advertising.

Tracking and Analytics

We deliberately keep this website free of advertising and behavioural tracking pixels on pages that could reveal health context. We do not place trackers on our condition pages, booking handoff, or contact form that would transmit health-related browsing to third parties.

Sharing Your Information

We share information only as needed to deliver care and operate the clinic, for example with the booking and form-handling services we rely on, or where required by law or by our regulatory and professional obligations. Service providers are expected to safeguard your information.

Your Choices and Rights

You may ask us what information we hold about you, ask us to correct it, or withdraw consent for non-essential uses. To make a request, contact us using the details below. We will respond in line with applicable Ontario privacy law, including the Personal Health Information Protection Act (PHIPA) where it applies to your health information.

Security

We take reasonable steps to protect the information we hold. No method of transmission over the internet is ever completely secure, so please avoid sending sensitive health details through the contact form or email. Use our secure booking platform for anything clinical.

Changes to This Policy

We may update this policy from time to time. The "last updated" date above reflects the current version.
